AI receptionist for Dentrix

Dentovox connects to Dentrix via NexHealth and books appointments directly into the Dentrix appointment book during the call. It reads live availability by provider and operatory, writes the confirmed visit in real time, and blocks double-bookings. Connection is usually live within a day, and your front desk keeps working in Dentrix exactly as before.

Dentrix stays the source of truth. Dentovox just answers the phone that nobody had time to answer — and finishes the job.

Connected through NexHealth

No new server, no rip-and-replace. NexHealth maintains the bridge to Dentrix; Dentovox reads and writes through it.

⏱️

Written during the call

The appointment is on the book before the caller hangs up — response under 800 ms keeps the conversation natural.

🛡️

Double-booking guard

One provider + one slot = one confirmed appointment, even when two callers want the same time.

🗣️

English and Spanish

The AI detects the caller's language in the call and books either way, with reminders sent in the same language.

How the Dentrix connection actually works

Dentrix runs the schedule; Dentovox runs the phone. The two are joined by NexHealth, an integration platform that maintains the connection to the practice management system so Dentovox never has to touch your database directly. Practically, that means nothing about your Dentrix installation changes — the appointment book, the columns your team is used to, the operatory layout, the appointment types you already use all stay exactly where they are.

When a patient calls, the AI answers, understands what they need, and asks NexHealth what is genuinely open. It gets back live availability — which provider, which operatory, which time — and offers the caller real options instead of a promise to call back. When the patient picks one, the appointment is written into Dentrix while they are still on the line. The caller hears a confirmation, the front desk sees a new appointment on the book, and nobody re-types anything.

Dentovox is not affiliated with, sponsored by, or endorsed by Henry Schein One. Whether your particular Dentrix version and deployment — a practice server, a hosted environment, or a cloud edition — can be connected is confirmed with NexHealth during onboarding, before you commit to anything.

What syncs, and what stays put

The scope is deliberately narrow. Dentovox needs enough of Dentrix to book a real appointment correctly, and nothing beyond that. Everything financial and everything clinical stays where it belongs.

AreaDentovox canDentovox cannot
AvailabilityRead open time by provider and operatory, in real time during the callChange your templates, hours, or column setup

If a caller asks something that belongs on the clinical or financial side, the AI takes the message and routes it to the right person rather than guessing. A suspected emergency is escalated immediately — and Dentovox is never a substitute for 911.

The double-booking guard, in Dentrix terms

The fear every office manager has about an AI on the phone is the same one: two people booked into one chair. Dentovox handles that with a hard rule rather than a hopeful one. One provider plus one time slot equals exactly one confirmed appointment. If two callers converge on the same 2:00 pm hygiene slot at the same moment, only one write succeeds; the second caller is offered the next real opening, in the same breath, without a hold or a callback. The guard is enforced by Dentovox regardless of how busy the phones are — see how the scheduling engine works for the full flow.

Cancellations get the same treatment from the other direction. When a slot opens, the waitlist auto-fills it: patients who wanted an earlier date are contacted and the gap closes without anyone at the desk noticing it appeared. Reminders go out as two-way SMS in English or Spanish, so a patient can confirm or reschedule by replying instead of calling back into a busy line.

Security, HIPAA, and who sees what

Dentovox is built HIPAA-aware: PHI is encrypted, each practice's data is isolated from every other practice, and every action the AI takes is written to an audit log you can review. A BAA is signed before Dentovox works with any real patient data — not after a pilot, not "later." The security overview covers the details, and the BAA itself is available before onboarding starts.

How long it takes to go live

Connection is usually complete within a day once access is arranged. Most of that day is not technical — it is a conversation with whoever runs your schedule about provider and operatory mapping, appointment lengths, and the handful of rules every practice has that live only in someone's head ("Dr. R doesn't start crowns after 3"). Encoding those correctly is the difference between an AI that books and an AI that books the way you book.

Honest limits

Dentovox books, reminds, reactivates, and escalates. It does not do insurance verification, it does not process payments, and it does not practice dentistry. It answers in English and Spanish only. And the connection depends on NexHealth's coverage of your specific Dentrix environment — which is why that gets confirmed first, not assumed. Pricing is the same whether you run Dentrix or anything else: Starter $249, Core $399, Growth $599, and Multi/DSO $899 per location per month, with 15% off on annual billing.

Worth knowing what else runs on the same connection: the AI receptionist handles every inbound call, reactivation works your lapsed-patient list and reports the revenue it brought back, and bilingual coverage means Spanish-speaking callers get the same booking experience as everyone else.

Frequently asked questions

Does Dentovox connect to Dentrix directly?

No. Dentovox connects to Dentrix through NexHealth, an integration platform that maintains the connection to the practice management system. Dentovox is not affiliated with, sponsored by, or endorsed by Henry Schein One. Whether your specific Dentrix version and deployment can be connected is confirmed with NexHealth during onboarding, before you commit.

Does the appointment appear in Dentrix while the patient is still on the phone?

Yes. Dentovox reads open availability and writes the confirmed appointment during the call, so the visit is on the appointment book before the caller hangs up. There is no batch upload, no callback queue, and no manual re-entry by the front desk.

Can two callers end up in the same Dentrix slot?

No. A double-booking guard enforces that one provider plus one time slot equals exactly one confirmed appointment. If two callers are competing for the same slot at the same moment, only one booking is written and the second caller is offered the next available time.

Does Dentovox touch the Dentrix ledger, claims, or clinical chart?

No. Dentovox works with the schedule and patient contact records only. It does not post payments, submit or adjudicate insurance claims, verify eligibility, edit fee schedules, write clinical or perio notes, or open imaging. Those stay entirely in Dentrix with your team.

How long does the Dentrix connection take to set up?

Connection is usually complete within a day once access is arranged. Most of that time is confirming provider, operatory, and appointment-type mapping with your office manager so the AI books the way your practice already books. A BAA is signed before Dentovox works with real patient data.

Do we have to change how the front desk uses Dentrix?

No. Dentrix stays the single source of truth and your staff keep their existing workflow. Appointments created by the AI are tagged as phone-AI bookings so you can tell at a glance which visits the AI produced, but they are ordinary appointments on the same appointment book.

Dentrix is a trademark of its respective owner. Dentovox is an independent product and is not affiliated with, sponsored by, or endorsed by that vendor. Connectivity is provided through NexHealth.
