Privacy Policy

Last updated: September 2026. When Dentovox processes protected health information, the Business Associate Agreement (BAA) with your practice governs and controls.

1. Who we are

Dentovox provides an AI front-office platform to dental practices. When we process patient information, we act as a Business Associate on behalf of the practice (the Covered Entity) under HIPAA.

2. What we collect

• Practice account data — name, email, phone, role, billing details.
• Patient data on behalf of the practice — names, phone numbers, appointment details, and call records needed to answer calls and book appointments.
• Usage data — logs and metrics used to operate and improve the service.

3. How we use it

Solely to provide the service: answering calls, booking appointments, reactivation outreach, messaging, and analytics for the practice. We do not sell personal information.

4. How we protect it

• Encryption in transit (TLS 1.3) and at rest (AES-256).
• Tenant isolation — one practice can never access another practice's data.
• Minimal data shared with the voice AI (first name + reason only).
• Audit logging of sensitive actions.

5. Mobile numbers and text messages

A patient's mobile number reaches us one way: the patient gives it to the practice during a phone call and agrees to be texted about their own appointment. We use it to send appointment confirmations and reminders on that practice's behalf, and for nothing else.

No mobile information or text-messaging opt-in data is sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. We share it only with the service providers that deliver the messages for us — today that is our telecom carrier — and only so the message can be sent. Those providers may not use it for anything else.

Every message says how to stop. Reply STOP to opt out at any time, HELP for help. An opt-out is honoured immediately and applies to every message we would otherwise send that number.

6. Your choices

Patients can opt out of SMS at any time by replying STOP. Practices may request export or deletion of their data, subject to the BAA and legal retention requirements.
