Last updated: June 2026. This policy is provided for transparency and is not a substitute for the Business Associate Agreement (BAA) that governs protected health information. Final terms are reviewed by counsel before any live patient data is processed.

1. Who we are

Dentovox provides an AI front-office platform to dental practices. When we process patient information, we act as a Business Associate on behalf of the practice (the Covered Entity) under HIPAA.

2. What we collect

• Practice account data — name, email, phone, role, billing details.
• Patient data on behalf of the practice — names, phone numbers, appointment details, and call records needed to answer calls and book appointments.
• Usage data — logs and metrics used to operate and improve the service.

3. How we use it

Solely to provide the service: answering calls, booking appointments, reactivation outreach, messaging, and analytics for the practice. We do not sell personal information.

4. How we protect it

• Encryption in transit (TLS 1.3) and at rest (AES-256).
• Tenant isolation — one practice can never access another practice's data.
• Minimal data shared with the voice AI (first name + reason only).
• Audit logging of sensitive actions.

5. Your choices

Patients can opt out of SMS at any time by replying STOP. Practices may request export or deletion of their data, subject to the BAA and legal retention requirements.
