Dental front office glossary: 70 terms in English and Spanish

This glossary gives 70 words a dental front desk uses every day — scheduling, treatment, insurance and billing — each with a plain-English meaning, the Spanish term, and a short phrase for saying it to a patient. It ends with ready phrases for the calls that come up most, and a guide to numbers, dates and money in Spanish.

A father and his young daughter looking at a dental X-ray on a monitor with a clinic staff member

On her second day, a new receptionist at a busy family practice took a call from a patient asking whether her "deep cleaning" would be covered "like last time," then heard the hygienist ask for "a pre-auth on number 19," and finally watched a Spanish-speaking father try to explain that his son's frenillos were hurting. Three different vocabularies — clinical, insurance and the patient's own — in under an hour, and nobody had handed her a list.

This is that list. It is written for the front desk, not the clinic: every term is explained the way you would explain it to a patient, and next to it is the Spanish word and a short sentence you can actually say on the phone. After the glossary come ready phrases for the calls that happen every day, and a short guide to the part of Spanish that trips up even fluent speakers on the phone — numbers, dates and money.

Words patients use, and what they usually mean

Half the job is decoding. A few that come up constantly:

Where Spanish varies by region

Most dental words are the same everywhere. These are the ones that aren't, and it helps to recognize all of them:

When a patient uses a word you don't know, repeat it back and ask: "¿Me puede explicar un poco más?" — "Could you tell me a bit more?" Nobody minds being asked.

Five steps with their Spanish terms: pre-authorization (autorización previa), which some plans require before larger treatment; the treatment itself (tratamiento); the claim the practice sends to the insurer (reclamación); the explanation of benefits the patient receives, which is not a bill (explicación de beneficios); and the remaining balance the patient pays (saldo).

Insurance words that confuse everyone

Insurance vocabulary is where most phone misunderstandings start, in either language. The five words in the diagram above happen in that order, and patients almost always meet them out of order — the EOB arrives before the practice's statement, and it looks like a bill. Three short explanations that work on the phone:

Deductible vs copay · English

Your deductible is what you pay each year before your plan starts paying. A copay is a set amount you pay at a visit. Some plans have one, some both.

Deductible vs copay · Español

El deducible es lo que usted paga cada año antes de que su seguro empiece a pagar. El copago es una cantidad fija que paga en cada visita. Algunos planes tienen uno, otros los dos.

EOB · Español

Esa carta de su seguro es una explicación de beneficios. Le dice lo que pagó el seguro, pero no es una factura. Si nos queda un saldo, le enviaremos nuestra propia cuenta.

Tooth numbers

US offices use the Universal system: adult teeth numbered 1 to 32. Patients rarely know it, but the clinical team will use it with you — "pre-auth for a crown on 19" — and you will need to translate it back into "your lower left back tooth."

The 32 adult teeth numbered in the Universal system as you face the patient. Upper teeth run 1 to 16 from the patient's upper right to upper left; lower teeth run 17 to 32 from the patient's lower left to lower right. Teeth 1, 16, 17 and 32 are the wisdom teeth. The patient's right side appears on your left.

Numbers, dates and money on the phone

The words above are the easy part. What goes wrong on a Spanish call is usually a digit: a phone number, a date, a dollar amount. A few habits prevent most of it.

When to bring in an interpreter

A glossary gets a front desk through scheduling, reminders and payments. It is not enough for consent to treatment, explaining a diagnosis, or anything about medications. For those conversations, use a qualified interpreter or a bilingual clinician. Avoid relying on family members — especially children — to interpret clinical information; they may soften or miss details, and the patient may not want them to hear. Practices that take Medicaid or other federal funding have specific obligations to provide language assistance; check them with your counsel.

What to do tomorrow

  1. Print the glossary tables for the front desk and add your own practice's terms as you meet them.
  2. Mark each patient's preferred language in the practice software, and use it for every call and reminder.
  3. Practice the numbers and dates section out loud with a colleague — it is the part that prevents the most errors.
  4. Agree with your dentist which questions always go to them, in any language.
  5. Find out who in your area provides professional phone interpretation, before you need it.

Spanish terms were chosen for the widest understanding among Spanish speakers in the US; regional usage varies. This page has not yet been reviewed by a native-speaking dental professional — check phrases with a bilingual colleague before using them with patients. If a word reads differently where you are, tell us at info@dentovox.com.

For the bigger picture — where practices lose Spanish-speaking patients and the order to fix it — see serving Spanish-speaking dental patients; for the words to use on a first call, see the new patient phone script. Dentovox answers your practice's calls in English or Spanish, detecting the caller's language from their first words, and books into Dentrix, Open Dental or Eaglesoft during the call — see bilingual answering.

Frequently asked questions

What is the Spanish word for a dental cleaning?

Limpieza dental. A routine cleaning is a limpieza; a deep cleaning for gum disease is a limpieza profunda. Patients use both, so it helps to ask which one their dentist recommended.

How do you say “appointment” in Spanish at a dental office?

Cita. “Su cita es el martes a las diez” — your appointment is Tuesday at ten. Some patients say apoinmen, but cita is understood by everyone.

What is the difference between frenos and frenillos?

Both mean braces. Frenos is more common in Mexico and much of the US; frenillos is common in parts of Central America. Use the patient's word.

Should family members interpret for Spanish-speaking dental patients?

For scheduling and simple questions it is usually fine. For consent, diagnoses or medications, use a qualified interpreter or bilingual clinician — family members, and especially children, may miss or soften important details.

What does EOB mean, and how do I explain it in Spanish?

EOB is the explanation of benefits — the insurer's statement of what it paid. In Spanish, explicación de beneficios. Tell patients it is not a bill: “no es una factura.”

See it answer your kind of call.
